About this policy

This page explains what Willow Falcon Crest does with personal information when you read this website, write to us or book a consultation. It is written in plain English, follows the Act on the Protection of Personal Information (APPI), and describes only what the site actually does today.

Who is responsible

Willow Falcon Crest, 3-18-7 Showa, Hakodate, Hokkaido 041-0812, Japan, runs this website and decides how your information is used. The name of the person in charge is given in writing on request (see the commercial notice).

What the website itself collects

The pages of this site are static files. There is no login, no account area, no comment box, and no analytics, advertising or social-media scripts. Fonts and images are served from this site, not from other companies' servers.

Like any web server, the server that delivers these pages may record technical details of each request (IP address, time, page requested, browser type) in an access log kept by the hosting provider. We do not use those logs to profile visitors.

Cookies and local storage

This site sets no cookies. When you press the button on the notice at the bottom of the screen, your browser stores one entry named rs with the value seen in its local storage, so the notice does not appear again. It contains no personal information and is never sent to us. You can remove it at any time by clearing the site data for this address in your browser.

When you write to us

The enquiry forms have no server behind them. When you press “Write the email”, your own email program opens with a message already filled in from what you typed: your name, email address, an optional phone number and your message. Nothing leaves your device until you press Send there. The message then travels as an ordinary email to mail@willowfalconcrest.com.

We do not encrypt ordinary email on your behalf, so please do not put your basic pension number, My Number, bank details or health information in a first message. If a document is needed, we will tell you what to send and how.

What we use it for

We use the details you give us only for the following purposes:

  • replying to your question or enquiry;
  • arranging, confirming and delivering a consultation, including the written confirmation, matching your bank transfer and sending the written summary;
  • keeping the accounting records that the law requires;
  • handling a complaint or a dispute about a session.

No advertising use

We do not use your details for newsletters, advertising or profiling, and we do not make automated decisions about you.

Documents you show in a session

During a consultation you may show documents such as your nenkin teiki-bin or a contribution record. We use them only to prepare and give the session and the written summary. We do not need your basic pension number or My Number; if a document shows them, please cover them first.

Who else sees your information

We do not sell, rent or trade personal information. Your message passes through your own mail provider and the mail service that hosts our mailbox, which handle email as part of delivering it. A bank transfer is visible to our bank and to yours on the transfer record. We give personal information to anyone else only where the law requires it or with your consent.

If our mail host stores messages outside Japan, that counts as provision to a third party in a foreign country under the APPI; the country concerned and the safeguards in place are available on request.

How long we keep it

Enquiry emails that do not lead to a consultation are deleted when the matter is closed and at the latest when we next clear the mailbox. Records of paid consultations and bank transfers are kept for as long as tax and accounting law requires, and then deleted.

Security

Access to the mailbox is limited to the people who answer enquiries and protected by a password. No method of transmission or storage is perfectly secure, and email in transit is the weakest link, which is why we ask you to keep sensitive numbers out of your first message.

Your rights

You may ask us to disclose the personal information we hold about you, to correct it, to delete it or to stop using it. Write to the address below; we may ask you to confirm your identity first, and we will answer without delay.

Complaints

If you are not satisfied with how we handled your information, please contact us first. You can also contact the Personal Information Protection Commission (個人情報保護委員会) of Japan.

Changes to this policy

If the site changes in a way that affects your information, for example if analytics or an online payment system were ever added, we will update this page first and change the date at the top.
